• Chat and community data, such as messages sent in rooms or direct chats, room memberships, room identifiers, message identifiers, message timestamps and user presence data.
• Attachments and media, such as images, videos, voice notes, filenames, file types and generated blurred-image variants where our service creates them.
• Bot and AI interaction data, such as prompts, recent conversation context and bot replies when you use bot-enabled features or interact in rooms where bots are active.
• Safety, moderation and compliance data, such as ban records, moderation reasons, action logs and information needed to investigate misuse, abuse, fraud or security incidents.

• Directly from you when you create a profile, join rooms, send messages or upload files.
• Automatically from your device and connection when you sign in and use our real-time chat features.
• From activity within the service, including moderation events, membership changes and bot interactions.
• From communications you send to us, including support or legal/privacy requests.
5. How we use your personal data and our UK lawful bases
We use personal data only where we have a lawful basis to do so under UK data protection law. The lawful bases we rely on include:
• Performance of a contract: to create and operate your chat profile, authenticate you, connect you to rooms, deliver direct messages, enable file sharing, apply your preferences and keep the service running.
• Legitimate interests: to secure the service, prevent abuse, investigate misuse, moderate community activity, troubleshoot problems, improve reliability and administer bot-enabled chat features.
• Legal obligation: to comply with applicable law, lawful requests, reporting duties and security or fraud prevention requirements.
• Consent: where consent is required by law, for example if we introduce non-essential cookies, analytics or direct marketing in the future.
6. How Chat-X-Hub features affect your privacy
• Public and private rooms: messages, presence information and attachments shared in a room can be visible to the users who have access to that room.
• Direct messages: content you send to another user is processed to deliver the message and related metadata is used for routing, authorisation and abuse handling.
• Real-time status: we process online/offline and connection information so the service can show presence and keep conversations up to date.
• File uploads: uploaded images, video and voice content are transferred in real time through the service. As currently configured, this media is sent directly over the chat connection and is not retained by Chat-X-Hub as a stored media library.
• Bot-enabled rooms and AI features: if you use rooms or features with chat bots enabled, the prompts you send and recent conversation context may be processed to generate a response.
• Moderation: we may review and record information needed to investigate reports, enforce our rules, prevent misuse and protect users and the service.
7. Message handling and storage
Chat-X-Hub is designed around real-time communication. We process message content in order to transmit chats to the intended room or recipient. Our current service architecture also stores message-related metadata, such as author, recipient or room identifiers and timestamps, to support routing, permissions and moderation.
Attachments and media are intended to be transferred directly between participants over the WebSocket connection rather than kept as a long-term stored file archive by Chat-X-Hub. Public posts, private messages, voice content and attachments may still be visible to the people you send them to or the room participants who have access. You are responsible for deciding what you share on the platform.
8. Sharing your personal data
We do not sell your personal data. We may share personal data only where necessary with:
• Infrastructure and hosting providers, including the providers needed to run our database and real-time chat service.
• OpenAI or other AI providers we may use from time to time, when you interact with bot-enabled features and we need the provider to generate a response.
• Professional advisers, regulators, law enforcement or courts, where disclosure is required to comply with the law, protect rights or investigate misuse.
• Service providers acting on our instructions, where they help us maintain, secure or support Chat-X-Hub under appropriate contractual controls.
9. International transfers
Some of our providers may process personal data outside the UK. Where that happens, we aim to protect your data using safeguards recognised under UK data protection law, such as adequacy regulations, contractual protections or other approved transfer mechanisms, together with any supplementary measures we consider appropriate.
10. Data retention
We keep personal data for only as long as we reasonably need it for the purposes set out in this policy, including to provide the service, resolve disputes, prevent abuse and comply with legal obligations.
• Account, room and preference data is generally kept while your chat profile or session remains active.
• Message metadata is designed to be short-lived in our current service architecture and may be deleted when users sign out, rooms are removed or the service is reset.
• Media shared through chat is intended to be transferred directly in-session and not kept by Chat-X-Hub as a persistent stored media archive.
• Safety, moderation, legal and security records may be retained for longer where reasonably necessary to investigate incidents, enforce our rules or meet legal obligations.
11. Cookies, local storage and similar technologies
Chat-X-Hub currently uses browser storage to keep authentication information on your device so you can stay signed in between actions. We may also use strictly necessary technologies required for the operation and security of the service.
We do not currently describe any non-essential analytics or advertising cookies in this policy. If we add them later, we will update this notice and ask for consent where PECR or UK GDPR requires it.
12. Security
We use technical and organisational measures intended to protect personal data against unauthorised access, misuse, loss or disclosure. These measures include authentication controls, security monitoring, rate limiting, file validation, access restrictions and service-level security features. No online service can be guaranteed to be completely secure, so you should also take care with the information you choose to share.
